Common login issues

Overview: Experiencing issues with logging in can be frustrating, but many common problems can be resolved with a few simple, manual steps. This article outlines the most frequent login issues and provides a guide on how to troubleshoot them before escalating to technical support. 1. Forgotten Password - Issue: You have forgotten your password and cannot log in. - Manual Solution: - On the login screen, click the "Forgot Password?" link. - Enter the email address associated with your Stafio.ai account. - You will receive a password reset link via email. Click the link and follow the on-screen instructions to create a new password. - Troubleshooting Tip: If you don't receive the password reset email, check your spam or junk folder. The email may have been filtered. 2. Incorrect Email or Password - Issue: You are certain you are entering the correct password, but the system is not accepting it. - Manual Solution: - Double-check the spelling of your email address. A simple typo can prevent a successful login. - Ensure you are using the most current password. - If you have recently reset your password, clear your browser's cache and cookies to ensure you are not using a saved, outdated password. - If the problem persists, follow the "Forgotten Password" steps to perform a password reset. 3. Account Deactivated or Locked - Issue: You receive a message that your account has been deactivated, locked, or suspended. - Manual Solution: - If your account has been deactivated, it was likely done by an administrator in your organization. You will need to manually contact them to request reactivation. - If your account has been locked due to too many failed login attempts, you can wait for a designated period (e.g., 30 minutes) and try again, or use the "Forgot Password?" function to reset your password. - If you are an administrator and a user's account is locked, you have the ability to manually reset their password or reactivate their account. 4. Browser-Related Issues - Issue: The login page is not loading correctly, or the login button is not working. - Manual Solution: - Clear your browser's cache and cookies. Outdated or corrupted data can sometimes interfere with login functionality. - Try using a different web browser (e.g., Chrome, Firefox, Safari). If the login is successful in a different browser, the issue is with your original browser's settings or an extension. - Check if your browser's version is compatible with Stafio.ai. You can find our list of supported browsers in the "System/browser compatibility" article. Troubleshooting & Tips: Issue: I receive an error message that says, "User does not exist." Suggested Fix: Double-check that you are using the correct email address. If you are certain it is correct, it is possible your account was deleted. Manually contact your administrator or Stafio.ai support. Issue: I'm having trouble with my SSO (Single Sign-On) login. Suggested Fix: Try logging in with your SSO provider directly. If that fails, it may be a configuration issue. Contact your internal IT department, who will have to manually check the SSO setup. Issue: I'm stuck in a loop after logging in. Suggested Fix: This is almost always a cache or cookie issue. Clear your browser's cache and cookies completely and try again.

Email notifications not working

Overview: Email notifications are a crucial part of the Stafio.ai workflow, keeping you informed about important events like new applications, candidate activity, or team updates. If you are not receiving these notifications as expected, there are several manual troubleshooting steps you can take before contacting support. This article outlines the common reasons for email delivery issues and provides solutions to ensure you stay in the loop. 1. Check Your Email Settings - Issue: You are not receiving any notifications at all. - Manual Solution: - Navigate to your User Profile Settings > Email Notifications. - Manually review and verify that all the notifications you wish to receive are toggled on. - Save your changes. - Troubleshooting Tip: If you are an administrator, also check the global email settings to ensure that notifications are enabled at the workspace level. 2. Check Your Spam or Junk Folder - Issue: Notifications were working, but now you can't find them. - Manual Solution: - Manually check your email client's spam or junk folder. The emails may have been incorrectly flagged. - If you find Stafio.ai emails in the spam folder, mark them as "Not Spam" or "Trust this sender." This manual action will help train your email client to deliver future messages to your inbox. - Manually add support@stafio.ai to your contacts or safe sender list. 3. Email Filters or Rules - Issue: You are receiving some notifications, but not all of them. - Manual Solution: - Manually review the email filters or rules in your email client (e.g., Outlook, Gmail). You may have created a rule that is automatically archiving or deleting certain notifications. - Look for rules that mention Stafio.ai or have keywords that might be in our notification emails (e.g., "new candidate," "interview scheduled"). - Delete or edit these rules as needed. 4. Incorrect Email Address - Issue: A team member is not receiving notifications. - Manual Solution: - As an administrator, navigate to the User Management section. - Locate the user's profile and manually verify that their email address is correct. - If the email is incorrect, edit the field and save the changes. - Ask the team member to manually log out and back in to refresh their settings. Troubleshooting & Tips: Issue: I'm receiving a "bounced" email notification. Suggested Fix: This means your email provider has rejected our email. It could be due to a full inbox, a temporary server issue, or an incorrectly configured email address. Manually contact your IT administrator to check if there are any restrictions on incoming emails from our domain. Issue: Notifications are delayed. Suggested Fix: While a slight delay can occur, a significant delay might indicate a system-wide issue. Manually check the Stafio.ai status page for any reports of email delivery problems. Issue: I've tried all of the above, and it's still not working. Suggested Fix: This is a good time to contact our technical support team at support@stafio.ai. When you contact us, please provide details on what you have already tried, as this will help us resolve your issue faster.

System/browser compatibility

Overview:  For the best possible experience, Stafio.ai is designed to work seamlessly with a range of modern web browsers and operating systems. If you are experiencing display issues, slow performance, or a core feature that isn't working, it's a good idea to manually check your system and browser for compatibility. This article outlines our supported environments and provides a few manual troubleshooting tips. 1. Supported Web Browsers - Stafio.ai is a cloud-based application that is optimized for the latest versions of the following browsers: - Google Chrome: Version 80 or higher - Mozilla Firefox: Version 75 or higher - Safari: Version 13 or higher - Microsoft Edge: Version 80 or higher - Important: While the platform may function on older browsers or other browsers (e.g., Opera), we cannot guarantee full functionality or provide support for them. We strongly recommend that you keep your browser updated to the latest version to ensure you have the best security and performance. 2. Supported Operating Systems - Our platform is designed to be accessible on any modern operating system, including: - Windows (Windows 10 and newer) - macOS (Catalina 10.15 and newer) - The Stafio.ai mobile experience is designed to work on the default browsers of both iOS (version 13 and newer) and Android (version 10 and newer). 3. Common Browser-Related Issues - Display Issues: If the layout looks incorrect, or elements are out of place, it could be a browser compatibility issue or a cache problem. - Functionality Issues: If a button is not clickable or a feature is not working as expected, it may be due to a browser setting or an extension. - Slow Performance: A slow-running browser, often with multiple tabs open, can affect the performance of Stafio.ai. 4. Manual Troubleshooting Steps - Update Your Browser: Manually check for and install any available updates for your web browser. This is a crucial step for both security and functionality. - Clear Cache and Cookies: As mentioned in other articles, manually clearing your browser's cache and cookies can resolve a wide range of display and performance issues. - Disable Extensions: Browser extensions can sometimes interfere with the functionality of web applications. Manually disable all your extensions and see if the issue is resolved. If it is, re-enable them one by one to identify the culprit. - Use Incognito/Private Mode: Open Stafio.ai in your browser's incognito or private mode. This temporarily disables extensions and uses a clean cache, which can help you determine if the issue is local to your browser. - Manual Intervention Point: The act of checking your browser version, clearing your cache, and disabling extensions are all manual steps you can take to resolve most browser-related issues on your own. Troubleshooting & Tips: Issue: I'm on a supported browser, but a new feature isn't working. Suggested Fix: Try clearing your cache. If that doesn't work, ensure your browser is fully up-to-date. If the issue persists, try another supported browser. Issue: The video in a candidate's profile isn't playing. Suggested Fix: Check your browser's settings to ensure that third-party cookies are enabled for our domain, and that video playback is not being blocked. Issue: I'm using an unsupported browser and a feature is broken. Suggested Fix: We strongly recommend switching to one of our supported browsers. If the issue persists, we may not be able to offer technical support.

Reporting a bug

Overview: Despite our best efforts, you may occasionally discover a bug or an unexpected issue within the Stafio.ai platform. Your feedback is invaluable in helping us maintain the highest quality of service. This article will guide you through the manual process of how to effectively report a bug to our technical support team, ensuring we have all the information we need to investigate and fix the problem as quickly as possible. 1. What Is a Bug? - A bug is an error, flaw, or fault in the system that causes it to produce an incorrect or unexpected result. This could be anything from a broken feature to a spelling mistake or a display issue. - Important: Before reporting a bug, it's a good practice to manually perform the basic troubleshooting steps outlined in our other articles, such as clearing your cache and trying a different browser, to ensure the issue isn't local to your machine. 2. How to Report a Bug - The best way to report a bug is to provide our team with as much information as possible. The more detail you provide, the faster we can diagnose and resolve the issue. - Steps to Take When You Find a Bug (Manual Process): - Stop and Document: As soon as you encounter a bug, stop what you are doing and take a moment to document the issue. - Take Screenshots or a Video: Visual evidence is often the most helpful. Take a screenshot or, even better, a short screen recording of the bug in action. - Reproduce the Bug: Manually try to reproduce the bug by performing the same steps again. Document the exact sequence of actions that led to the bug. This is a crucial step. - Gather Information: Note down all relevant information, including: - The exact date and time the bug occurred. - The name of the web browser and its version you were using. - Your operating system and its version. - The URL of the page where the bug occurred. 3. Submitting the Bug Report - Once you have all the necessary information, you can submit the bug report through one of our support channels. - Support Channels: You can always contact us on support@stafio.ai, Slack, or our live chat feature, Chatwoot. - Manual Intervention Point: When you submit the report, it is your manual responsibility to include all the information you gathered in the previous step. A good bug report should read something like this: - Subject: Bug Report - [Brief description of the bug] - Description: "I was trying to [explain what you were trying to do] when I encountered [explain the bug]. I have attached a screenshot of the issue. - Steps to Reproduce: - Step 1 - Step 2 - Step 3 - Expected Result: [What should have happened] - Actual Result: [What actually happened] 4. What Happens Next? - Once we receive your bug report, our team will manually review it and prioritize it for a fix. You will be notified of the progress and when the bug has been resolved. Your contribution is highly valued and helps us make Stafio.ai better for everyone.
