Inviting your team members

Overview: Collaborative hiring is key to success on Stafio.ai. Our platform makes it easy to invite your colleagues – recruiters, hiring managers, and other stakeholders – to join your workspace, define their roles, and work together seamlessly on talent acquisition initiatives.

Step-by-Step Instructions:

Step 1: Accessing User Management

  • From your Stafio.ai dashboard, navigate to the Settings icon on the lower left-hand panel.

  • From the Settings menu, select User Management. This section allows you to manage all active team members,their assigned roles, and permissions.

Step 2: Understanding Roles and Preparing to Invite

  • Before inviting, it's helpful to understand the different roles available on Stafio.ai and the permissions associated with each (e.g., Admin, Recruiter, Hiring Manager, Interviewer, Viewer). You can often view a summary of these roles within the User Management section.

  • Once you're clear on the appropriate role for your new team member, you're ready to send the invitation.

Step 3: Inviting a New Team Member

  • On the User Management screen, click the + Invite New Member button (or similar prominent button).

  • A form or pop-up will appear where you can enter the new team member's details:

    • Email Address: Enter the professional email of the person you want to invite. This will be their login ID.

    • First Name & Last Name: (Optional but recommended for personalizing their account).

  • Click Send Invitation.

Step 4: Invitation Sent and Awaiting Acceptance

  • An invitation email will be automatically sent to the specified email address. The new team member will need to click the link in this email to activate their account and set up their password.

  • On your User Management screen, you'll see the invited user listed with a status like "Pending Invitation" until they accept.

Troubleshooting & Tips

Issue: Invited member didn't receive the invitation email?

Suggested Fix: Advise them to check their spam/junk mail folder. Ensure you entered their email address correctly. You can also try to Resend Invitation from the User Management screen. If problems persist, their email server might be blocking automated emails – contact our support at Support@stafio.ai for assistance.

Issue: Can't invite new members (button disabled)?

Suggested Fix: Only users with Admin permissions or specific delegated permissions can invite new team members. Check your own user role in Settings > User Management. If you are not an Admin, contact your workspace administrator to request an invitation or have them invite the user directly.

Issue: Member accepted but can't log in?

Suggested Fix: Ensure they are using the correct login URL (https://stafio.ai/sign-in/) and their exact registered email address and newly set password. Advise them to try the "Forgot Password" link on the sign-in page. If issues continue, gather their email and details and contact Support@stafio.ai.

Issue: Invited user cannot see jobs/candidates?

Suggested Fix: Confirm that the invited user has been assigned the correct role with the necessary permissions (e.g., Recruiter, Hiring Manager). Their role determines their access level. Refer to [Understanding User Roles & Permissions] (or contact support for details) to verify.
